Job Description

Worley is looking to recruit a Screening Administrator to join our People Team based in Aberdeen on a permanent basis.

The role of Screening Administrator is to support and assist the wider Screening Team in the effective provision of Screening Administration activities to the People function and wider business.

The Screening Administrator will provide a professional, customer-focused administration service to the business within the People Operations' Team and to Line Management across the business, ensuring the application of best practice and established processes and procedures, whilst following work instructions.

  • Manage day-to-day People Administration within the People function relating to the onboarding of New Starts, including system/tracker update, reporting and stakeholder notifications where appropriate
  • Ensure that all personal data is managed in line with the Data Protection legislation and Company policy
  • Ensure compliance and competence of all workers by checking and validating relevant and original documentation, including Right to Work and qualification checks and full compliance with the Company Training Matrix
  • Issue timely invitations to Pre-employment/engagement Screening Days and ensure that candidates are provided with essential and relevant Company information
  • Ensure documentation issued is always current, relevant and appropriate
  • Upload documentation/certification to training system where required
  • Monitor online completion of mandatory Company policies and procedures and follow-up on non-compliance or incomplete documentation/eforms, as appropriate
  • Administer and adjudicate the completion of Skills Questionnaires to Offshore Workers, ensuring exam conditions are maintained at all times, providing results feedback to candidates
  • Present Company Induction to new starts ensuring that delivery is effective and well-received by the audience
  • Maintain Company Induction material and ensure relevance and effectiveness of material
  • Issue 'Passed' or 'Not Passed' notifications to projects and relevant stakeholders in line with expected timelines
  • Complete and submit Training Requisitions for any training required, and ensure course completion by new starts
  • Maintain accurate and complete worker records and ensure that all systems are updated and that data quality/integrity is maintained at all times
  • Produce accurate and timely reports in line with reporting schedule and/or on demand requests
  • Accurately update trackers and all applicable documentation in a timely fashion
  • Liaise with People Operations' teams and employees from various projects and functions on a daily basis in order to provide a quality People Screening Administration service, ensuring business needs are always met
  • Deal promptly and politely with queries raised by candidates, employees, managers and external stakeholders; preferably face to face, but also by email or over the telephone
  • Support colleagues with day-to-day activities to ensure that deadlines and standards are met and commitments honoured
  • Participate in training/mentoring of new and existing colleagues
  • Ensure own understanding and compliance with People policies and procedures, as well as mandatory Ethics and Compliance requirements
  • Attend meetings as required
  • Any other relevant duties, as directed

Qualifications:

Essential:

  • Standard Grade English or equivalent
  • Standard Grade Arithmetic or equivalent
  • Standard Grade Mathematics or equivalent

Experience:

Essential

  • Demonstrable experience in a busy, fast-paced organisation
  • System/Database management
  • Good level of knowledge and application of Microsoft Office, including Word, Excel, Outlook and PowerPoint

Desirable:

  • HR Administration experience
  • Good understanding of HR Administration processes and practices
  • Experience of a Matrix organisation
  • Oil and Gas industry experience

Personal Qualities & Skills

  • Excellent written and verbal communication skills
  • Good relationship building skills; understanding of internal customer relationship and ability to work with people at all levels
  • Able to prioritise a demanding workload in line with requirements, whilst maintaining accuracy and delivery in line with expectation
