Job Description

Worley are looking to recruit a PA/Administrator to be based at Worley Field Services in Grimsby on a permanent basis.

At the end of April 2019 WorleyParsons combined with Jacobs' Energy, Chemicals and Resources (ECR) division, to create Worley. Role Outline/Responsibilities:

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among multiple priorities. Candidates must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Key Responsibilities:

  • Completes a broad variety of administrative tasks for the management team and other nominated key leaders within the organisation including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Communicates directly, and on behalf of the senior management maintaining credibility, trust and support with senior management staff.
  • Researches, prioritises, and follows up on incoming issues and concerns addressed to the management team, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides comprehensive administrative and document control support to the wider team across multiple geographical locations.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the management teams ability to effectively lead.
  • Prioritises conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Tactical business coordination activities, including updating CVs, project datasheets etc
  • Maintaining email circulation lists and coordinating email updates.
  • Managing a calendar of team briefings

Qualifications & Experience:

Essential:

  • Strong background working in an administrative role
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point) required
  • Experience booking international and domestic travel required
  • Experience previously supporting senior management
  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks
  • Excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders
  • Expert level written and verbal communication skills
  • Ability to successfully manage multiple tasks effectively
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Experience working for a large global organisation preferred
